A professional email signature in two minutes
Your email signature appears at the bottom of every message you send, which makes it one of the most-seen pieces of branding a business has. A clean, consistent signature tells clients who you are, how to reach you and that your company pays attention to detail. This free email signature generator creates one that looks right across the email clients people actually use — Gmail, Outlook and Apple Mail — without any design skills or sign-up.
How to create your signature
- Enter your name, job title, company and contact details. Leave out anything you don’t want shown.
- Add a logo or headshot: upload an image, or — for Gmail — paste the link to an image hosted on your website.
- Add links to the social profiles you actually use for work.
- Choose one of four templates and set your brand color.
- Click “Copy signature”, then follow the steps for your email client below the preview.
Your details are saved in your browser, so you can come back later to update a phone number or create signatures for colleagues. Nothing is uploaded.
Why email signatures break — and how this one avoids it
Email clients are far stricter than web browsers. Outlook for Windows renders email with Microsoft Word’s engine, Gmail removes many CSS styles, and mobile apps shrink wide layouts. Signatures built with modern web techniques often end up with broken spacing, missing colors or giant images. This generator uses the old but dependable approach professional email developers still rely on: layout tables, inline styles on every element, web-safe fonts such as Arial, and images with fixed width and height.
Images are the most common problem. Gmail won’t keep images embedded directly in a signature, so for Gmail you should host your logo online and paste its URL. Outlook and Apple Mail accept uploaded images, which this tool shrinks to a small file so your emails stay light.
Email signature best practices
- Keep it short. Name, title, company and one or two contact methods are enough.
- Use one brand color. A single accent color looks more professional than several.
- Don’t make the whole signature an image. Text can be read by screen readers, copied and found in search.
- Link only active profiles. An outdated social account does more harm than good.
- Use the same format across your team for a consistent brand in every inbox.

Frequently asked questions
Will my signature work in Gmail and Outlook?
Yes. The signature is built with simple tables and inline styles — the HTML that Gmail, Outlook (desktop, web and mobile) and Apple Mail render most reliably. Web fonts and CSS classes are avoided on purpose.
Why doesn't my uploaded logo show in Gmail?
Gmail doesn't keep images embedded directly in a signature. Upload your logo to your website or another host and paste its public link in the 'hosted image URL' field. Outlook and Apple Mail accept uploaded images.
What's the difference between 'Copy signature' and 'Copy HTML'?
'Copy signature' copies the formatted signature so you can paste it into your email client's signature editor. 'Copy HTML' copies the source code, which is useful for email platforms, CRMs or IT teams that deploy signatures centrally.
Is my information saved or uploaded?
Your details are saved only in this browser's local storage so you can come back and edit them. Nothing is sent to a server.
What should a professional email signature include?
Your name, job title, company, and one or two ways to contact you — usually phone and website. A logo or photo and a few relevant social links are optional. Keep it short: four or five lines is plenty.
