A simple weekly timesheet that does the math
Adding up hours by hand is slow and error-prone: times cross noon, breaks have to be subtracted, and payroll wants decimal hours while your clock shows hours and minutes. This timesheet calculator handles all of it. Enter when you started and finished each day and how long your breaks were, and it totals the week, splits out overtime, calculates pay and gives you a clean printout — useful for employees checking a paycheck, freelancers billing by the hour and small businesses tracking staff time.
How to fill in your timesheet
- Optionally add your name and the date the week starts, for the printout.
- Tick the days you worked and enter start and end times. Untick days off.
- Enter unpaid break minutes for each day, such as a 30-minute lunch.
- Use “Copy Monday to Tue–Fri” if your weekdays follow the same schedule.
- Add your hourly rate, and adjust the overtime threshold and multiplier if needed.
- Click “Print or save as PDF” for a copy you can send or keep.

How hours are calculated
For each day, the calculator subtracts the start time from the end time and then subtracts the break. If the end time is earlier than the start time, the shift is treated as crossing midnight — so 10:00 pm to 6:30 am with a 30-minute break counts as 8 hours. Totals are shown both as hours and minutes (8:15) and as decimal hours (8.25), since most payroll and invoicing systems use decimals. To convert yourself, divide the minutes by 60: 15 minutes is 0.25 hours and 45 minutes is 0.75.
Overtime and pay
By default, hours above 40 in the week are counted as overtime and paid at 1.5 times the hourly rate — the rule under the US Fair Labor Standards Act for non-exempt employees. You can change the threshold (for example, 44 hours in some Canadian provinces) and the multiplier to match your contract or local law. Pay is shown as regular pay plus overtime pay. It’s gross pay, before taxes and deductions, and doesn’t include paid breaks, holiday pay or shift premiums unless you add them to the rate.

- Record times daily rather than reconstructing the week on Friday.
- Note unpaid breaks separately — they’re the most common source of disputes.
- Keep copies of submitted timesheets; a PDF is easy to file.

Frequently asked questions
How do I calculate hours worked?
Subtract the start time from the end time, then subtract unpaid breaks. For example, 9:00 am to 5:30 pm is 8 hours 30 minutes; minus a 30-minute lunch gives 8 hours worked.
How do I convert minutes to decimal hours?
Divide the minutes by 60. So 7 hours 45 minutes is 7 + 45 ÷ 60 = 7.75 hours. Payroll systems usually want decimal hours, and the calculator shows both formats.
Does it handle overnight shifts?
Yes. If the end time is earlier than the start time — say 10:00 pm to 6:00 am — the shift is treated as running past midnight.
How is overtime calculated?

How do I save my timesheet as a PDF?
