Why IRCC documents need to be compressed

Applying for Express Entry, a study or work permit, a visitor visa or permanent residence means uploading a stack of supporting documents: passport pages, police certificates, bank statements, language test results, educational credential assessments and more. Each upload slot in an IRCC portal has a maximum file size, and phone scans or multi-page statements downloaded from your bank are often far larger than that. When a file is too big, the portal simply refuses it — usually right when you are trying to meet a deadline.

How to reduce a PDF for an IRCC upload

1. Check the maximum file size shown next to the upload button in your IRCC account.
2. Select your PDF above, or drag and drop it onto the upload area.
3. Choose a target — under 1 MB, 2 MB or 4 MB — or enter a custom size in megabytes.
4. For black-and-white scans, tick “Convert to grayscale if needed” for much smaller files.
5. Click “Compress”, then compare the before and after sizes and download the result.
6. Open the downloaded PDF and read every page to make sure all text, stamps and signatures are clear.

How the target-size compression works

The tool first tries lossless optimization, which rewrites the PDF’s internal structure without touching your content, so text stays selectable. If the file is still over your target, it re-renders each page as an image and tries a ladder of settings, starting at about 144 DPI with high JPEG quality and stepping down gradually. It stops at the first setting that fits, so you always get the best quality that meets the limit. The lowest step is roughly 61 DPI — below that, small print on forms and statements becomes hard to read, and a document an officer can’t read is worse than one that is slightly too large.

If even the lowest step can’t reach your target, the tool tells you clearly and still gives you the smallest version it managed. In that case, try grayscale, remove blank or unnecessary pages, or split the PDF into parts if the portal lets you upload more than one file. If you need to combine several scans into one document first, use Merge PDF and then compress the merged file.

Tips for smaller, clearer immigration documents

• Scan at 150–200 DPI rather than 600 DPI — it is plenty for text documents.
• Use grayscale for documents that are black text on white paper.
• Crop away large margins and the background around phone photos of documents.
• Keep the original file, and always upload a copy you have checked page by page.
